An Easier Way to Document and Track Immunizations

The NetSolutions Immunization Record module is included with core clinical modules and enables you to document and track the immunizations given to your residents. Facility staff enter a record each time they administer an immunization. You can document and view the history of immunizations received by the resident before entering the facility.

NetSolutions Immunization Record allows users to indicate the resident’s consent or refusal for receiving an immunization. Staff can generate a list of residents who need a flu shot for the current influenza season, document when a declared shortage of a vaccine prevents immunization, or generate a list of residents needing vaccinations.

  • Enter a record each time you administer an immunization.
  • Document the history of immunizations received by the resident before entering the facility.
  • Indicate the resident’s consent or refusal for receiving an immunization.
  • Generate a list of residents who need a flu shot for the current influenza season.
  • Document when a declared shortage of a vaccine prevents immunization.

The Immunization Record program is designed primarily to record resident immunizations against influenza and pneumococcal infection but can be used to document all immunizations administered to your residents, along with tests such as the PPD skin test for tuberculosis.

Integration

The Immunization Record module can be run as a stand-alone program with NetSolutions Clinical/ADT. It also offers functionality that integrates with the Physician Orders, eCharting, and MDS 3.0 programs:

Physician Orders

In Physician Orders, you enter a standing order for the influenza vaccine for your residents. This order then appears in eCharting during an influenza vaccine med pass.

 eCharting

The eCharting program enables you to conduct a special e-charting session for administering and documenting flu shots, the “influenza vaccine med pass”. Resident information entered on the Immunization Record page is pulled into the session to speed data entry. Information entered in eCharting flows back to the Immunization Record.

MDS 3.0

On the MDS 3.0 assessment, Section O pulls in resident immunization information entered in Immunization Record.

Vaccine Master

Maintain and customize the list of vaccine types administered in your facility on the Vaccine Master page. The vaccines entered here are available for selection in the Vaccine dropdown when you add an immunization record to a resident.

This page includes a summary grid showing the vaccine types currently in the system, and an Add row at the bottom where you can add new records. The system provides 10 default vaccines, which you can edit.  The sequence of the vaccines in the master determines the order in which they display in the Vaccine dropdown. You can modify the sequence using the Seq field or the up and down arrows in the Move column.

 Use the Immunization Record page to document the immunizations received by your residents.

Links at the bottom of the page enable you to attach an electronic document to an immunization record, to view an attached e-document, to view and print the Immunization Record report, nd the IR Event Tracking report.

Vaccines

Select the vaccine being documented. In the default NetSolutions setup, the following vaccines are available:

  • Influenza
  • Pneumococcal
  • Prevnar 13 (PCV 13)
  • Zoster
  • Td or Tdap
  • Varicella
  • MMR (mumps, measles, rubella)
  • Hepatitis A
  • Hepatitis B
  • Meningococcal
  • PPD Skin Test
  • Other- When you select this option, the Other text field displays where you can enter a free text vaccine

Influenza Vaccine Med Pass

Immunization Record provides two ways to document the influenza vaccinations administered in your facility: 

  • Immunization Record. Use the Influenza Vaccination Report to generate a list of residents who have not received the flu vaccine for the current season. Then as you administer the vaccine to each resident, document the vaccination directly on the Immunization Record page.
  •  eCharting. In the eCharting program, create an Influenza Vaccine Med Pass to document the vaccinations. Residents with the flu vaccine physician order who have not yet been vaccinated will appear automatically in the eCharting session, and data entered in eCharting is saved to the Immunization Record. This option is available only if the Physician Orders and eCharting programs are installed in the facility.

MDS 3.0 Integration

If your facility is using both the Immunization Record and MDS 3.0 programs, information entered in Immunization Record flows automatically to the MDS.

Influenza, pneumococcal, and Prevnar 13 immunization information is entered in Section O in the MDS. When you add a new MDS assessment, the Section O items are filled automatically with the latest information entered in the Immunization Record. These fields are no longer populated by “pulling forward” information from a previous MDS assessment.

 MDS item O0250 records whether the resident has received the influenza vaccine.

  • A. Indicates whether the vaccine was administered (Yes/No).
  • B. Contains the date of vaccination.
  • C. If the vaccine was not received, states the reason.

Item O0300 records information for the pneumococcal and Prevnar 13 vaccines.

  • A. Indicates whether the vaccine was administered (Yes/No).
  • B. If the vaccine was not received, states the reason.

Immunization Record reporting

Multiple reports enable you to print immunization records based on a wide variety of criteria. Select one or more residents to appear on the report based on name, status, or location. Sort the report by resident name or location. Select records based on the vaccine or the decision to administer; by default, all vaccines and decisions are included. You can also find specific immunization records by searching for text in the Type of Vaccine, Manufacturer, and Lot # fields.

Unvaccinated residents

Enter a date range, clear the Decision dropdown, and select the Include Active Residents with No Recorded Vaccinations checkbox to print a list of residents who have not received the vaccine within the date range. This report can then be used as a worklist when administering the vaccine.
